These Billing & Payment Terms apply to all paid use of the ProTaxAdvisorsFL / Protaxbolt Services provided by GD Management & Services LLC, including subscriptions, consultations, invoices, and add-on services.

1. Payment Methods and Authorization

  • You authorize us and our payment processors to charge the payment method you provide for fees, taxes, and authorized adjustments.
  • You are responsible for providing accurate billing information and maintaining sufficient funds or credit availability.
  • We may use third-party processors; their terms may apply in addition to these terms.

2. Billing Cycles and Invoices

  • Filing and Smart Filing packages are billed as one-time purchases unless otherwise stated in an order form.
  • Monitoring and Business Compliance plans are billed in advance on a recurring monthly basis unless otherwise stated.
  • Consultation and project fees may be billed at booking or upon delivery.
  • Invoices specify due dates. Late or unpaid amounts may incur suspension, late fees where permitted by law, and recovery of reasonable collection costs.
  • Taxes (including sales, VAT, GST) are your responsibility and will be itemized where applicable.

3. Changes, Upgrades, and Downgrades

  • Plan changes take effect as described in the product or order form. Prorations may apply where offered.
  • Additional services, premium support, or usage-based items may be invoiced separately or in the next billing cycle where disclosed.
  • Payment does not authorize us to access IRS records or act before required legal consents and authorizations are completed.

4. Refunds and Credits

  • Unless required by law or a written agreement, fees are non-refundable once the billing period begins or a consultation is confirmed.
  • One-time filing packages become non-refundable once service delivery, data ingestion, return preparation, transcript processing, or similar production work begins.
  • If a refund is issued, it will be processed to the original payment method when possible. Processing times depend on your bank or card issuer.
  • Chargebacks: If you initiate a chargeback, we may suspend the related account while we investigate. We reserve the right to dispute illegitimate chargebacks.

5. Cancellations and Termination

  • You may cancel a subscription at any time; access continues through the paid period unless otherwise specified.
  • We may suspend or terminate for non-payment, fraud risk, or material breach of our Terms or Acceptable Use Policy.
  • Upon termination, accrued fees remain due, and outstanding invoices must be paid.

6. Errors and Disputes

  • Contact billing@protaxadvisorsfl.com within 30 days of a disputed charge with details (invoice number, date, amount). We will investigate and correct verified errors.
  • If automated billing fails, you remain responsible for providing an alternative payment method and resolving the balance promptly.

7. Feature Access, Metering, and Records

  • Access to premium features is controlled by the purchased package or subscription and may be limited by onboarding, legal consent, authorization, or compliance prerequisites.
  • We may record activation, workflow, and feature-usage events to support entitlements, usage analysis, support, fraud prevention, and billing operations.
  • All fees are billed in the currency stated during checkout or in the applicable order. You are responsible for maintaining copies of invoices and receipts for your records.
